Foodstuffs EDI compliance. Managed, not left to your IT team.

Foodstuffs North Island and Foodstuffs South Island. We run both integrations end to end. Your team runs the business.

PAK’nSAVE, New World, and Four Square mandate EDI for supplier transactions. What suppliers often discover late is that Foodstuffs is two separate co-operatives, North Island and South Island, each with its own trading relationship and onboarding. Non-compliance means chargebacks, delays, and delisting risk. Flow manages the setup, monitoring, and ongoing compliance across both co-ops so your team doesn’t have to learn EDI.

WHY IT MATTERS

Foodstuffs EDI isn’t optional. And it isn’t one relationship.

Foodstuffs requires suppliers to exchange purchase orders, invoices, advance ship notices, and goods receipts electronically across all banners: PAK’nSAVE, New World, and Four Square. If you supply them, EDI compliance is a trading requirement. If you supply both islands, it’s two.

01

Two co-operatives, not one chain

Foodstuffs North Island and Foodstuffs South Island are separate, member-owned co-operatives that share the same retail banners. A supplier trading nationally deals with two organisations, two onboarding processes, and potentially two sets of trading-partner identifiers.

The banner on the storefront is the same. The relationship behind it is not.

02

Owner-operated stores

Individual PAK’nSAVE, New World, and Four Square stores are owner-operated members of their co-op, so store-level detail matters. Delivery destinations and store identifiers have to land in your ERP customer master correctly.

When they don’t, stock goes to the wrong place and the credit follows it.

WHERE NON-COMPLIANCE LANDS
WHERE IT BREAKS
WHAT HAPPENS
WHAT IT HITS
Invoice mismatch
Ordered, shipped and invoiced quantities disagree. Foodstuffs supplier terms set the deduction at 1 to 5% of invoice value. On grocery volumes, that adds up fast.
Margin
PO-MSG-ASN timing
Acknowledgements or ship notices go out late, or not at all. Orders back up while somebody re-keys them by hand.
Order flow
Repeated misses
Order response, ASN accuracy and delivery performance are tracked against your supplier scorecard. A pattern of misses puts supplier status at risk.
Trading status
Ongoing maintenance
Format changes, new document types, new store identifiers. A 1 to 3 person IT team already carrying ERP, security and infrastructure absorbs it.
Your team
WHAT WE DO

We manage your Foodstuffs EDI. Both co-ops. End to end.

Flow connects your ERP to Foodstuffs North Island, Foodstuffs South Island, or both, and manages the integration on an ongoing basis. Not a one-off build. Not a platform you have to learn. A managed integration partnership where we handle the technical complexity so you don’t have to.

2CO-OPS

North Island and South Island, one integration estate

We run integrations to both co-operatives on one platform, under one operations team. If you already supply one island and you’re expanding to the other, the second connection builds on the first rather than starting from scratch. Two onboardings, not two projects.

SETUP

Mapping to your requirements

We connect your ERP and map every document type across all three banners.

ACCURACY

Store-level detail that reconciles

Store IDs land on the right ERP accounts, so orders route to the store that placed them.

MONITORING

We watch it, and act

Exceptions resolved as they happen, not when a ticket is raised. 24/7 on critical flows.

COMPLIANCE

Changes absorbed, not escalated

Format and rule changes at either co-op are handled by us, not escalated to you.

PEPPOL

eInvoicing on the same platform

Mandatory for large suppliers from January 2027. We run Peppol alongside your EDI.

SUPPORT

Your business hours are our business hours. Something breaks at 2am, we’re on it.

THE CYCLE

Where the timing actually bites.

Four messages, in order, on every order. Most compliance problems turn out to be a break somewhere in this loop rather than a bad map.

ORDERS  ·  850

The ordering store sends the purchase order

It arrives through the Foodstuffs eXchange and lands in your ERP with the ordering store identified. Because stores are owner-operated, getting that identifier onto the right customer account is what makes everything downstream reconcile.

YOU → FOODSTUFFS

What we watch

Orders that arrive but fail to post, and orders for stores that aren’t yet in your customer master. Both are silent failures if nobody is looking.

A goods receipt comes back from Foodstuffs once your delivery is receipted, closing the loop against the ASN. Flow runs all five messages, and watches the gaps between them.

COVERAGE

Every Foodstuffs EDI document type. Covered.

Flow handles the EDI document types required for compliance with Foodstuffs North Island and Foodstuffs South Island, across PAK’nSAVE, New World, and Four Square.

Document type
What it does

Purchase orders

ORDERS · 850
Receive and process inbound orders from either co-op automatically into your ERP, with the ordering store identified correctly.

PO acknowledgements

MSG
Confirm receipt through the Foodstuffs eXchange MSG cycle. Automated from your system as part of the PO–MSG–ASN flow.

Advance ship notices

DESADV · 856
Notify Foodstuffs of shipment details before goods arrive. Automated from your dispatch process and tied to the correct receiving store.

Invoices

INVOIC · 810
Send compliant invoices electronically. Eliminate manual processing and chargeback risk.

Goods receipts

Receive confirmation that Foodstuffs has receipted your delivery.

Retailer-specific formats

Custom document requirements specific to each co-op’s systems and processes, handled inside the mapping rather than raised as a change request.
FIT

Built for NZ suppliers who’d rather run their business than manage EDI.

Flow’s Foodstuffs EDI service is designed for New Zealand FMCG suppliers, wholesale distributors, and manufacturers who supply PAK’nSAVE, New World, or Four Square, through either co-operative or both, and need reliable, compliant EDI without building an in-house integration capability.

COVERAGE

You supply one island, or both

One co-op or both, onboarding now or expanding later. Same platform either way.

TIMING

You supply Foodstuffs, or are about to

New onboarding, or an existing supplier needing better compliance on any banner.

TEAM

Your IT team is one to three people

Already carrying ERP, security and infrastructure. EDI won’t fit on top.

SYSTEMS

You run an ERP you intend to keep

Dynamics 365, SAP, NetSuite, Pronto, MYOB EXO and Exonet. We connect to what you have.

MODEL

You want it run, not just built

A managed integration partnership, not a build-and-walk-away project.

NOT A FIT

When we’re not the right answer

If you have a team you’re happy with and want a licence to run yourself, Flow isn’t the fit.

WHY FLOW

We know Foodstuffs EDI. We started in New Zealand.

Flow started in Auckland in 2005 building integration software for ANZ businesses. Not a global platform covering every market — an operator that knows how both co-operatives trade, and keeps your EDI compliant long after go-live.

01

Both islands, plus Australia

Foodstuffs NI and SI, Woolworths and Coles on one platform and one operations team.

02

We run it, not just build it

Built, operated and maintained by us. You don’t need EDI expertise on your team.

03

Data stays in-region

AWS ANZ hosting, and support from people in your timezone.

04

Fewer customers, deeper responsibility

Accountable for outcomes, not uptime. Post go-live is where most integration relationships fall apart.
